How to move student data from Excel to a school ERP

Clean the list once, import what the product supports, then stop using the spreadsheet as the live register. This usually follows paper registers and Excel—not an automatic migration of every historical ledger.

What NotifyHub School can import

Students, parents, enrollments, staff, classes, sections and subjects can be bulk imported from Excel or CSV. That is enough to stand up the academic structure and the people in it. It is not an automatic conversion of every spreadsheet tab. Read school ERP vs Excel if you are still deciding whether to leave the workbook.

What cannot be imported today

Fee data import is not available. Plan to set fee plans in the product after students exist. Do not assume historical fee ledgers will upload automatically.

How to prepare the spreadsheet

Use one row per student. Keep class and section in consistent columns. Put parent mobile numbers in a dedicated column—OTP login and messaging depend on them. Remove duplicate rows. Decide a single spelling for each class name before you import.

  • One header row.
  • Consistent class / section names.
  • Working mobile numbers for parents.
  • No merged cells.
  • A second person spot-checks 10 random rows.

After import

Link parents, including siblings. Assign classes if the enrollment file did not. Only then start attendance and fees. Keep the old Excel as a read-only backup for a few weeks, not as a second live system.

Do we need a data-migration project?

For a small school, cleanup plus CSV import is usually the project. NotifyHub School does not require a local server. Complex historical fee ledgers still need a manual approach because fee import is unavailable.
